Solar street-light commissioning and handover record.

Keep the installed asset identity, settings, site observations, checks, exceptions and maintenance handover together before the project is accepted.

1. Identify every installed asset

Record the project, route or area, pole or asset number, exact luminaire and solar-system configuration, installation location and the quotation, drawing or approved-description revision used. Add the panel, battery, controller, bracket and pole references only when they are known from the project record. A family name or nearby asset is not a substitute for the identity of the installed unit.

2. Reconcile the installation with the approved record

Compare the installed orientation, mounting arrangement, panel position, cable routing, labels, fasteners, clearances and accessible service points with the approved drawings and site instructions. Record each difference, the party reviewing it and whether it is accepted, corrected or still open. Do not convert a visual check into an electrical, structural or environmental-performance result.

3. Record settings before functional checks

Write down the controller mode, dimming or motion settings, clock or timer basis and any project-specific configuration that the responsible installer can verify. Note who entered or confirmed each setting and the date. If a value is unknown or access is restricted, leave it open rather than copying a generic programme from another configuration.

4. Define and witness the commissioning checks

Name the responsible person, method, conditions, acceptance criterion and result for each check required by the project. This may include a daytime functional sequence, control response, charging indication, night observation, measured electrical or lighting checks, and a review of civil or mounting interfaces. Use qualified project personnel for checks that require them. A completed row reports only what was actually observed or measured under the recorded conditions.

5. Keep exceptions and corrective work visible

Give every defect, incomplete item, substitution or inconsistent reading its own identifier. Record the immediate action, owner, target date, evidence needed for closure and the final disposition. Link replacement parts or revised settings back to the affected asset. Do not sign off an unresolved row by hiding it in a general note.

6. Complete the maintenance handover

List the drawings, operating instructions, controller notes, spare parts, cleaning and access information, service contacts and asset register delivered to the operator. Record who received them and which items remain outstanding. The handover should also identify who owns routine inspection, fault reporting and any future setting change.

7. Close acceptance with scope and limits

State the assets and checks covered, the date window, the people present, open exceptions and documents relied on. A project acceptance record should not be reused as a blanket product guarantee, certification or performance claim for another site. Re-open the record when an installed configuration, setting, replacement component or acceptance condition changes.

Carry the earlier decisions forward from the tender matrix and sample-approval record. Use the solar-design guide to keep site and operating assumptions visible; it does not calculate or approve the installed result.

Reusable commissioning and handover starter

Copy this blank record into the project workflow. Replace every bracketed field with project evidence or mark it unknown. The template itself does not confirm that a check passed, a document applies or a project has been accepted.

Limits and next step

Agree the commissioning method, responsible professionals, acceptance criteria, documentation and post-handover duties for the actual project. Xiuben Lighting can discuss the quoted product record and available product documents, but this guide does not replace site design, installation supervision, local approval or the buyer's acceptance process.

Keep the installed identity and the open items together.

Share the project reference, exact configuration and the document or product questions that still need supplier input.
